Administrative Assistant - Senior Level and Production Coordinator

(MCG Jazz)

SUMMARY:

The Administrative Assistant - Senior Level and Production Coordinator provides high level operational, administrative and production support to the Vice President and Executive Producer of MCG Jazz and other staff members.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Essential duties and responsibilities include, but are not strictly limited to, the following:

  • Administrative office duties to include answering incoming phone calls, drafting and distributing correspondence, organizing and maintaining central files within the department.

  • Processes invoices, purchase orders, check requests and credit card purchase requests.

  • Assists in generating MCG Jazz communication pieces and ensures timely distribution.

  • Coordinates with and assists other MCG Jazz staff in ensuring the completion of event procedures for MCG Jazz programming and events.

  • Coordinates artists’ hospitality needs, including catering and artists’ special needs requests or accommodations.

  • Assists with the preparation of materials for grants, sponsorship proposals, recording projects and special projects.

  • Assists with concert and recording preparation as needed including coordinating supplies, stage and recording set-up, transportation, and studio/equipment maintenance.

  • Assists with maintaining order and cleanliness in studio and all production areas of the department.

  • Assists as needed with the archiving of concert performances, and maintains/updates related databases of musician, concert, and inventory information.

  • Assists with MCG Jazz product inventory, packing and shipping and delivery of orders from the MCG Jazz Store and box office and creates and processes bulk mailings.

  • Orders and maintains supplies.

  • Copies printed materials including correspondences, music, educational materials and distributes as requested.

  • Assists with off-site MCG Jazz events as needed.

  • Other duties may be assigned.

 

SUPERVISORY RESPONSIBILITIES:

There are no supervisory responsibilities associated with this position.

 

EDUCATION and/or EXPERIENCE:

Related bachelors degree and a minimum of 1 year related experience in office coordination, communications, concert production and arts education; or equivalent combination of education and experience.  Must possess demonstrated PC skills, including a strong working knowledge of MS Office and Internet usage.  Some technical or practical experience in a professional or community-based arts organization is preferred. Social media and website management experience a plus.
