Assistant, Office and Production (MCG Jazz)

SUMMARY
Provides administrative, office and production support to the MCG Jazz department. Responsible for the competition and organization of work flow as determined by the Executive Producer and assists in projects as assigned. Will interact and/or collaborate frequently with other staff members, managers, performing artists and their representatives, and educators.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include, and are not strictly limited to, the following:

  • Answers incoming phone calls to the MCG Jazz department, and provides assistance to callers as necessary.
  • Drafts and distributes correspondence, including e-mail, first class, priority and express mail and faxes.
  • Copies correspondence, music or other materials as needed.
  • Assists with fulfilling orders from the MCG Jazz online store and box office.
  • Assists with concert and recording preparation as needed including coordinating supplies, stage and recording set-up, transportation and studio/equipment maintenance.
  • Assists with maintaining order and cleanliness in studio and all production areas of the department.
  • Assists with product inventory, sales and packing and shipping/delivery of orders.
  • Assists as needed with the archiving of concert performances, and maintains/updates related databases of musician, concert and inventory information.
  • Assts with the duplication and distribution of audiotapes, videotapes and photographs as needed for promotional purposes.
  • Participates in and supports jazz education efforts including those related to in-school presentation and artist workshops.
  • Attends departmental and staff meetings as needed.
  • Assists in ensuring compliance of all administrative protocol.
  • Others duties may be assigned.


SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.

EDUCATION and/or EXPERIENCE
Candidate must possess a related bachelors degree and a minimum of 1 year related experience in office coordination, communications, concert production and arts education; or equivalent combination of education and experience. Must possess demonstrated PC skills, including a strong working knowledge of MS Office and Internet usage. Some technical or practical experience in a professional or community-based arts organization is preferred. Must be capable of operating a car, 12-15 passenger van and mini-van, and must be licensed to drive in the state of Pennsylvania, with an insurable driving record. Additionally, must be capable of frequently lifting and/or moving up to 50 pounds
