Coordinator, Support Services (MCG Jazz)

SUMMARY
Provides administrative and office support to the MCG Jazz department. Responsible for the completion and organization of work flow as determined by the Executive Producer and assists in projects as assigned. Will interact and/or collaborate frequently with other staff members, managers, and performing artists or their representatives.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include, and are not strictly limited to, the following:

  • Answers incoming phone calls to the MCG Jazz department, and provides assistance to callers as necessary.
  • Drafts and distributes correspondence, including snail mail, e-mail, priority and express mail and faxes.
  • Copies correspondence or other materials as needed.
  • Organizes and maintains central files within the department.
  • Assists in processing invoices, purchase orders, check requests and credit card purchase requests in a timely fashion.
  • Assists in generating MCG Jazz communication pieces and ensures timely distribution.
  • Manages front-house duties for and at concerts and events.
  • Schedules and oversees MCG Jazz volunteers.
  • Assists with fulfilling orders from the MCG Jazz online store and box office.
  • Assists with travel arrangements, including the booking of flights, hotel reservations, and car/van reservations, and coordinates as needed with other departments on the same.
  • Assists with artists’ hospitality needs, including catering and artists’ special needs requests or accommodations.
  • Assists with the preparation of materials for grants, sponsorship proposals, CD projects and special projects.
  • Attends departmental and staff meetings as needed.
  • Assists in ensuring compliance of all administrative protocol.
  • Other duties may be assigned.


SUPERVISORY RESPONSIBILITIES
This position oversees volunteers supporting MCG Jazz.

EDUCATION and/or EXPERIENCE
Related Associates Degree and a minimum of 3 years of prior related experience required (non-profit preferred); possesses strong working knowledge of all MS Office applications; demonstrated basic accounting, data entry, writing and communications skills strongly preferred; must have a sound working knowledge of common office equipment including computer printers, facsimiles, and photocopiers; or an equivalent combination of education and experience.
