Administrative Assistant, Development (MBC)

SUMMARY
Manages donor database and financial reporting for the development department. Provides administrative support to the department.

ESSENTIAL DUTIES AND RESPONSIBILITIES
The requirements listed below are representative of the knowledge, skill, and/or ability required. Essential duties and responsibilities include, and are not strictly limited to, the following:

  • Drafts and distributes correspondence, including e-mail and faxes.
  • Manages all mailing, bulk mailing, and information distribution.
  • Copies correspondence or other materials as needed.
  • Maintains and updates databases.
  • Enters all gifts, reconciles expenses, acknowledges gifts, tracks progress toward pledges.
  • Responsible for maintaining and updating the development website.
  • Manages software technical problems and interfaces with software vendors to resolve problems.
  • Generates reports for planning, analysis and reporting.
  • Assists in tracking and maintaining budget information using spreadsheet applications.
  • Assists in coordinating events, meeting schedules, and related travel arrangements, and coordinates as needed with other departments or organizations on the same.
  • Attends and participates in departmental and staff meetings, and transcribes meeting minutes as required.
  • Assists in maintaining compliance with administrative protocol.
  • Maintains departmental systems and processes in alignment with established MBC policies and procedures.
  • Provides receptionist support to the Development office area.
  • Organizes and maintains central files within the department.
  • Processes invoices and purchase orders.
  • Other duties may be assigned.


SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.

EDUCATION and/or EXPERIENCE
Two-three years prior administrative support experience in Development required; related Associates degree preferred; or an equivalent combination of education and experience. Possesses strong MS Office skills; a working knowledge of DonorPerfect fundraiding software including donor constituents, appeals, campaigns and special events; and a sound working knowledge of common office equipment including PC printers, fax machines, and copiers. Meticulous attention to detail is required.
